Work with groups
A group bundles colleagues so a recording can be shared with all of them at once.
Requires: Membership of a group to see it in the Groups sidebar. Creating a group requires permission from an instance administrator.
Members inherit whatever permission the group was granted on a recording — Read or Write — exactly as if each of them had been granted it individually. Granting that access is described in Share a recording.
Roles in a group
A group has two roles of its own. They decide who manages the group, not what the group can see:
- Admin — invites and removes members, changes member roles, renames and deletes the group.
- Member — inherits the group's access to shared recordings, and nothing more.
Whoever creates a group becomes its first Admin. A member's role is independent of the Read or Write permission the group holds on any given recording.
Create a group
Requires: Permission to create groups, granted per user by an instance administrator.
- In the Groups sidebar, select + New.
- Enter a Name and, if useful, a Description (optional).
- Confirm. The group appears in the sidebar and you are its Admin.
If + New is not shown, you do not have that permission. An instance administrator grants it in Users by opening the row menu for your account and selecting Make Group Creator.
Invite and manage members
Requires: The Admin role in that group.
- Select the gear beside the group in the sidebar to open Manage group.
- Under Invite by email, enter the Email, choose the Role — Member or Admin — and select Invite.
- Pending invitations are listed with their status. Use Resend or Cancel on an invitation that has not been answered.
Under Members, change a person's Role or select Remove. You cannot remove yourself there; use Leave group instead.
The invited person sees the invitation in their own Groups sidebar and either accepts or declines it. They become a member only after accepting.
Rename or delete a group
Requires: The Admin role in that group.
Open Manage group, edit Name or Description under Settings and select Save.
Delete group removes the group and its access to every recording shared with it. This cannot be undone. The recordings themselves are not deleted, but members lose any access they had only through this group.
Groups whose membership comes from Keycloak
An instance administrator can bind a group to a Keycloak group, so that the organization's directory decides who belongs to it. Such a group is marked KC in the sidebar, and Manage group states Membership is managed in Keycloak. Then:
- Membership is taken from Keycloak at each login, so members appear as they sign in. It cannot be edited in Cue and invitations are unavailable.
- Roles stay Cue's own: an Admin still promotes and demotes members.
- Only an instance administrator can rename or delete the group, or remove the binding.
